Company Information:

Serving the Mid-Michigan area since 1950, the staff of obstetricians, gynecologists, nurse practitioners, and ultrasound sonographers, at Women's OB-GYN, P.C. are experts in women's healthcare. We offer comprehensive obstetrical and gynecological care. Our services range from routine checkups to emergency procedures, including high-risk obstetrics, office gynecology, infertility treatments, gynecological urology, and surgical gynecology.

Job Overview:

The Practice Manager runs the daily operations of the medical practice and is responsible for hiring and training administrative staff, managing budgets and payments, overseeing billing, organizing records, and ensuring that the practice delivers excellent customer service. The Practice Manager should be highly organized, have an adequate understanding of medical billing, be self-motivated and have great leadership and interpersonal skills.

Position Responsibilities: 

  • Oversee Office Administrators, Medical Billers, Medical Coders, Filing Clerks, and other administrative employees of the practice
  • Perform a review of billing at regular intervals to ensure accuracy and completeness
  • Establish and implement effective workplace procedures
  • Ensure policies and best practices are up to industry standards and government regulations
  • Hire, train, and monitor administrative staff
  • Organize patient records using electronic health records and oversee compliance in this area
  • Supervise daily practice operations such as billing, debt collections, security and occupational health and safety
  • Monitor the inventory for medications and medical equipment and organize for resupply
  • Interact with patients and address their complaints
  • Coordinate regular staff meetings and keep the team on task with follow-up items
  • Collaborate with Physicians to develop business strategies and patient services
  • Review and approve office supply orders
  • Coordinate regular performance reviews of staff
  • Maintain human resource files and ensure HR posters are properly displayed for staff
  • Maintain payroll records and reconcile and compile payroll hours
  • Assist with credentialling and maintain records for each provider
  • Provide support and direction to enhance performance, skills, and knowledge of practice team within the practice. This includes ensuring employees receive proper on boarding, training, and monitoring of each team member’s performance
  • Assist with malpractice insurance renewals
  • Implement existing effective workplace procedures across departments and teams.
  • Create new policies when the need arises
  • Ensure daily operations run smoothly, including promoting positive patient experiences and reviews, team members job satisfaction, workplace efficiency, shorter wait times, and completion of tasks
  • Troubleshoot problems such as non-working equipment, patient complaints, inefficiencies, workplace conflicts, and other items that may disrupt operations
  • Promote a harmonious team culture that aligns with the mission

Required Skills:

  • Excellent customer service and leadership skills
  • Knowledge of patient care protocols, procedures, regulations, and standards
  • Excellent communication and organizational skills 
  • Understanding of medical billing and ability to identify errors
  • Thorough understanding of medical front office operations including reception/registration, scheduling, determination of eligibility, prior authorizations, and collection of copays/outstanding patient balances 
  • Understanding of fiscal management principles and procedures  
  • Ability to work closely with providers and staff 

Required Experience:

  • Bachelor’s degree
  • 3 years’ experience in Practice Management

Salary and Benefits:

  • We offer salary commensurate with experience - $80,000 - $100,000 annually 
  • Comprehensive benefit package including paid holidays, paid time off, 401(k), health insurance 
  • Typical office hours have limited flexibility, designed to accommodate employee work/family balance, health, and wellbeing, not remote
