Job Description

Position Title: Special Events and Corporate Partnerships Coordinator

Reports To: Director of Special Events; dotted line to Corporate Partnerships Manager

Classification: Full-time | Exempt

Schedule: Generally Monday through Friday. Work week and hours fluctuate based on events schedule and will include evenings and weekends on a regular basis. The typical schedule will be 10:00 a.m. to 6:00 p.m.; flexibility required. This position is classified as a hybrid role with a minimum of 3 days onsite per week, generally Tuesday through Thursday in-office.

Summary: The Special Events and Corporate Partnerships Coordinator is primarily responsible for supporting the production of The Center's special fundraising events and stewarding the corporate relationships that generally support those respective events. The Coordinator will serve as the supportive liaison for both events and corporate partnerships. They will provide administrative support to both the Manager and Director on this team vertical.

Essential Duties and Responsibilities:

  • Support special fundraising and cultivation events for The Center in tandem with the Director of Special Events including but not limited to Holiday Party for Major Donors, Annual Donor Briefing & Toast, Center Dinner gala, Women's Event gala, Fashion Centered gala, Garden Party, Cycle for the Cause (The Center's 3-day bike peer-to-peer fundraising ride from Boston to New York), and others, in collaboration with the Director of Special Events and an additional Special Events Cycle for the Cause Manager . 
  • Support revenue and expense reporting and tracking, PO's, vendor contracts, and digital organization of all event materials. 
  • Work collaboratively with outside event producers and contractors (when utilized).
  • Monitor all event-related timelines and deliverables cross-departmentally so that all deadlines are met.
  • Support the management of event committees, volunteer leaders, and individual event volunteers. Provide timely updates and information to support their efforts on behalf of The Center.
  • Ensure, in collaboration with the Communications and Marketing department, the production of written and printed event-related collateral materials, including invitations, advertisements, web-based media, and all other internal and external materials related to Special Events.
  • Organize, inventory and maintain all events-related supplies and materials.
  • Supporting Corporate Partnerships Manager in ensuring event related assets are received in a timely manner, including logos, guest lists, etc. 
  • Support the Corporate Partnerships Manager with building and maintaining relationships with annual corporate partners through regular, prompt stewardship and inquiry response.
  • Maintaining up to date stewardship reports for corporate sponsors and prospects, using them to encourage corporate partners to holistically rather than transactionally, engage in the Center's mission.
  • Support volunteer recruitment and engagement with corporate partners for existing Center programs, services and events.
  • Provide administrative support for partner-related interactions, including gift acknowledgement, invoice creation, pledge follow-up, payment facilitation, and data entry.
  • Research new corporate prospects and create a monthly review process with Corporate Partnerships Manager for prospect qualifying and outreach.
  • Coordinate corporate third party relationships and tracking of gifts generated by these groups.
  • Track monthly aged corporate receivables report and monthly invoice follow up.
  • Assist in the creation of corporate partnership pitch documents as needed.
  • In collaboration with Special Events and Corporate Partnerships Coordinator Manager, lead logistics of exclusive corporate and partnership-based events, including the LGBTQ Career Fair.
  • Collaborate with the Communications team to create all necessary materials used to promote The Center's volunteer and engagement opportunities for partnership-based events.
  • Perform other duties as assigned.

Position Requirements:

  • Bachelor's degree preferred or equivalent professional and educational experience.
  • Possess a minimum of two (2) to three (3) years of experience working in a fast-paced fundraising, development, and/or special events environment.
  • Computer proficiency with Google Docs and Google Sheets, including merges and formulas.
  • Familiarity with fundraising database management; experience with Salesforce a plus.
  • Strong ability to work on multiple projects at one time and to set and stick to priorities.
  • Strong ability to work collaboratively as part of a team.
  • Excellent interpersonal skills; ability to interact with a wide range of stakeholders, including staff, board, and volunteers.
  • Excellent attention to detail and customer service skills.
  • Ability to self-reflect, take in feedback, and see oneself in systems, identities, and relationships.
  • Preferred experience working with LGBTQ+, TGNC, POC, and Immigrant populations, including knowledge of the spectrum of gender identity, transgender issues, immigration, and POC issues.
  • Understanding of, and commitment to, undoing structural and institutional racism and bias and the spectrum of gender identity and bias. Consideration of the impacts and outcomes in decision-making processes and on underserved and historically oppressed communities as it relates to The Center's work.
